Overview
datafest is an integrated enterprise-wide solution providing festivals with the ability to plan and manage events and resources from the conceptual stage through to delivery.
datafest is a proven solution that has been continually developed since 2004 in collaboration with the Melbourne International Arts Festival and used to manage it's festivals since 2005.
datafest is a "web application" - if staff have access to a web browser they can access the information from wherever they are. There is no need to load specialised software on staff machines. This provides ubiquitous access for users as well as lowering the overall cost and maintenance for the organisation. It also makes the application surprisingly fast.
All the festival production information is stored in a single place - providing a co-ordinated, synchronised view of all festival events and planning schedules. Everyone is working on the same, most up to date information.
Features
- overviews of festival productions and selected activities across selected dates and venues
- detailed schedules for production companies, artists, staff, crew, suppliers and venues
- detailed technical requirements for productions and the ability raise purchase orders for production requirements
- risk management reporting
- crew estimates for budgeting
- information on contractual obligations including tickets, programmes, royalties and deductions required from fees
- management of production support materials available for review and marketing
- venue bookings and technical summaries
- venue hire and venue staff costs
datafest also provides general Contact Management features and an advanced Invitation module permitting your organisation to manage the complexities of a variety of paid and complimentary Invitations from a variety of staff to a large number of events via a variety of delivery methods.

Testimonial
"datafest gives us a centralised source of information accessible to the entire organisation. It streamlines our work processes helping to reduce the workload on staff. It ensures that everyone is working with the same information, decreasing the amount of errors often created when individuals create their own lists and delivers consistency in reports generated for stakeholders. datafest has become integral to the operations of the Melbourne International Arts Festival and we love it!!"

Support & Training
artadata software provides an expert datafest user (and experienced festival worker) for initial user training and ongoing user support.
Data Migration
If required, artadata software can provide data migration services from a variety of legacy systems.
Technology
The system is designed using the latest Microsoft .net technologies to ensure scalability, robustness, reliability and longevity. It has been tested with up to 50 concurrent users with no degradation of performance. The system has proved extremely robust with an uptime of close to 100%.
The system's architecture, built with .net technology and utilising SQL server, ensures that your investment is not on a declining or obscure technology platform and that plenty of support will be available should this be required in the future.
Web-based applications have grown in popularity due to increased familiarity with web browsing, ease of maintenance and the growing supply of tools to build such applications. Web-based applications are now the fastest growing technology used in the software development market.
Hardware and Software Requirements
We can deploy the datafest software directly onto your existing Microsoft Server (2000 or later) and the datafest database onto Microsoft SQL Server (2000 or later). If you don't have SQL Server, we can procure it for you.
Any PCs on the network can then access the datafest application through their web browser (Internet Explorer 6.0 or later). Mac users may access the application via Remote Desktop to a PC.
Some staff may also wish to access the datafest database via applications such as Microsoft Access to run adhoc queries and generate adhoc reports, supplementing the 40 or so standard reports that come with the system.
The underlying database is open in nature and we can set up replication for you to other databases with selected subsets of your data. For example, to supply data to the data driven sections of your external web site.
Further Information
If your organisation is interested in licensing the datafest software - contact Haydn Smith at artadata software by emailing info@artadata.com for a detailed information pack.
The detailed information pack includes a full list of the system features, real-world screen shots and report examples, the hardware and software system requirements, and a detailed breakdown of the fees associated with licensing, deployment, training and user support.
